A virtual assistant (VA) is artificial intelligence (AI) that can be trained to interpret human language, be it text or speech, and respond accordingly. Recently the VA technology is becoming more in-demand as the number of companies who applied this technology is increasing. The purposes of VA are various, mainly center around cost expense, labor force, and workplace efficiency.

 

Even at the moment, many companies and organizations remain facing labor inefficiency and costly expenses. Labor and workplace inefficiency is due to staff, especially fresh recruits, spending prolonged time adjusting to the organizational system. Additionally, non-core tasks are becoming chores for the staff, distracting them from their assignments, resulting in lower quality of work. Aside from efficiency, increased company expenses are becoming a financial burden as more resources have to be spent on maintaining a large labor force and training staff. In short, due to training and non-core tasks, many industries are suffering from decreased labor efficiencies and an increase in maintenance costs. Therefore, the amount of time spent on the non-core tasks that include training and team communication needs to be reduced to solve the problems.


To tackle the problems mentioned above, a virtual assistant will be developed in 6 months to handle the responsibility to manage non-core tasks and assist staff at work. Technical tasks such as querying data, setting up pivot tables, and updating databases can be simplified from console commands to natural conversations. Furthermore, reminders of scheduled tasks, meetings, and announcements from the organizations can all be automated with the help of the virtual secretary. Not only that, communication and integrity between departments of an organization will be significantly improved with the virtual assistant being the hub of information as manual reports and document transfers are no longer required.



With such automation, staff can focus more on their assignments without being distracted by non-core tasks, boosting organizations’ overall efficiency. Further, staff will be able to respond more quickly as information and data can instantly be obtained with the help of a virtual assistant. Additionally, with a welcoming and easily comprehensible interface, beginners to the systems or new recruits will be able to adapt well with companies as less effort is needed to understand the complex system. As a result, extra training sessions and maintenance expenses will be significantly reduced, boosting organizations’ revenue.
